Designing a table with a prompt
Updated
Don't know which fields you need? Describe the table you want in plain words and AI will propose a whole table for you to review. You can add a few sample documents to make it more accurate — but they're optional.
Describe what you want
- On the account's page, click Add table beside its title, to open the New table page.
- In Or describe your table, under the name, say what you'd store and the columns you want — for example, “freelance invoices with client, amount in USD, issue date, due date, and whether it's paid.” The AI picks a sensible type for each field.
- Optionally click Choose documents… and pick up to ten images or PDFs of the same kind of document; their names show beside the button. Examples help the AI notice fields that only appear on some of them — handy when a photo of a real form says more than a sentence.
- Click Design table and wait a few seconds while it designs the table.
Review before anything is created
Nothing is created until you say so. You'll see the proposed table name and its fields, each with a type the AI picked — a money amount becomes a currency field, a date becomes a date field, and so on. When the documents come in more than one currency, it adds a currency choice too, and each amount shows in its own record's currency. Rename the table or any field, change a field's type, edit the hints, or remove fields you don't want.
Above the fields are the AI instructions: what the AI will follow when it reads each document into a record, written from what your samples have in common — whose invoices these are, say. Change them or clear them before creating the table; they never show on the form.
Line items and linked tables
The table keeps all of a document. A list each record carries — an invoice's lines — becomes one line-items field with its columns. Something records point to that has details of its own — the customer an invoice names — gets a table of its own, created along with it, and a reference to it; when the account already has a table for it, the reference points there instead. You don't need to ask for either.
The review lists those linked tables under Linked tables, with their fields. Rename them like any other; remove the field that links to one to leave that table out. A line-items field's columns are adjusted later on its own settings screen.
Laid out like your documents
The table's record page comes out arranged like the documents: blocks side by side become sections that share the row, the total to pay is large, a column of amounts keeps its labels beside them. The review shows each field's Section; change the rest from the table's layout once it's created.
Add the documents as rows
Tick Also add these documents as the first rows to turn each uploaded document into a record once the table is created, with the file attached. This reuses the same per-document reading as a bulk import, so it uses AI for each file.
After it's created
The new table works like any other — add, rename, and reorder fields and set the label field in its settings (Settings beside its name, then Fields), and share it from Groups and permissions. The design step is just a head start.
